Understanding Stock Tracking

Stock tracking in Bartendie helps you:

  • Monitor product levels
  • Receive alerts when supplies run low
  • Track consumption over time
  • Plan shopping efficiently
  • Prevent overstocking or waste

Setting Up Stock Tracking

Configuring Initial Levels

When you first add a product:

  1. Enter the current quantity
  2. Set the minimum threshold for alerts
  3. Indicate storage location

Establishing Units

Choose consistent units for similar products:

  • Spirits: Bottles, ounces, milliliters
  • Mixers: Bottles, cans, ounces
  • Garnishes: Count, bunches, ounces
  • Other: Appropriate units for the item

Updating Stock Levels

Manual Updates

Update inventory when you use ingredients:

  1. Navigate to the Inventory screen
  2. Select the product to update
  3. Tap "Update Stock"
  4. Enter the new quantity or the amount used
  5. Add notes if desired (e.g., "Used for Tiki Party")

Event-Based Updates

Automatically update after events:

  1. When an event is marked "Complete"
  2. Bartendie will prompt to update inventory
  3. Review the calculated usage based on menu
  4. Adjust as needed for actual consumption
  5. Confirm updates

Batch Updates

Update multiple products at once:

  1. From the Inventory screen, tap "Batch Update"
  2. Select multiple products
  3. Choose update type:
    • Set specific levels
    • Reduce by percentage
    • Mark as empty
  4. Confirm changes

Inventory Alerts

Low Stock Notifications

Configure alerts when products run low:

  1. Go to Settings > Inventory Alerts
  2. Set global or individual alert thresholds
  3. Choose notification methods:
    • In-app notifications
    • Email alerts
    • Add to shopping list

Out of Stock Management

Manage products that are completely depleted:

  1. Products at zero quantity are marked "Out of Stock"
  2. Set whether to include in shopping lists
  3. Configure automatic reordering amounts
  4. Choose whether to hide or display in inventory

Inventory Reports

Generating Reports

Create inventory reports for analysis:

  1. From the Inventory screen, tap "Reports"
  2. Select report type:
    • Current stock levels
    • Consumption over time
    • Value report
    • Expiration tracking
  3. Filter by category, location, or other criteria
  4. Export or share reports as needed

Consumption Analysis

Track usage patterns over time:

  1. Go to "Consumption Analysis"
  2. View usage by:
    • Product
    • Category
    • Event type
    • Time period
  3. Identify trends and adjust purchasing accordingly

Inventory Optimization

Bartendie can suggest optimal quantities:

  1. Tap "Optimize Inventory"
  2. Review recommendations based on:
    • Past usage
    • Upcoming events
    • Storage capacity
    • Product shelf life
  3. Apply recommendations selectively or all at once

Expiration Tracking

Manage product freshness:

  1. Enter expiration or "best by" dates when available
  2. Receive alerts for products nearing expiration
  3. Get usage suggestions for products to use soon

Tips for Effective Stock Tracking

  • Update immediately after usage for accuracy
  • Conduct physical inventory checks monthly
  • Be consistent with units across similar products
  • Add notes for unusual consumption (spills, parties)
  • Review alerts and thresholds periodically
  • Use barcodes when possible for quick updates
  • Consider storage conditions when setting stock levels
